Privacy Policy

psyn llc operates Pawbook (pawbook.studio), a CRM platform for pet grooming studios. This Privacy Policy explains what data we collect, how we use it, and your rights regarding that data.
1. Who This Policy Covers
This policy applies to two groups of people:
- Studio Admins: businesses and individuals who sign up for a Pawbook account.
- End Customers: the clients and pet owners whose information studio admins enter into Pawbook on their behalf.
If you are an end customer and have questions about how your information is used, you should first contact the grooming studio that manages your records. psyn processes end customer data on behalf of studios, as a service provider.
2. Data We Collect
2.1 Studio Admin Information
When you create a Pawbook account, we collect:
- Your name and email address.
- Your billing information (processed by Stripe; psyn does not store your full credit card number).
- Account login credentials.
- Business name and any profile details you provide.
2.2 End Customer Data (Entered by Studios)
Grooming studios use Pawbook to manage their clients. The personal data entered into the system for those clients may include:
- Client names, email addresses, and phone numbers.
- Pet names, breeds, ages, and service history.
- Appointment records and notes.
- Payment records for services rendered.
psyn stores this data on the studio's behalf. The studio is responsible for having the appropriate legal basis to collect and store this information.
2.3 Usage and Log Data
We automatically collect certain technical data when you use the service:
- IP addresses and browser or device type.
- Pages accessed, features used, and timestamps.
- Error logs and performance data.
We use this data to maintain, secure, and improve the service. We do not use it to build advertising profiles.
2.4 Cookies and Sessions
Pawbook uses session cookies to keep you logged in. We do not use third-party advertising or tracking cookies. You can disable cookies in your browser, but doing so may prevent the service from functioning properly.
3. How We Use Data
We use the data we collect to:
- Provide and operate the Pawbook service.
- Process payments and send billing-related communications through Stripe.
- Send transactional emails, such as appointment reminders and receipts, through Postmark.
- Respond to support requests and account inquiries.
- Detect, investigate, and prevent security incidents or Terms of Service violations.
- Comply with legal obligations.
We do not use your data or your customers' data for marketing unrelated to the Pawbook service.
4. How We Share Data
psyn does not sell personal information. We share data only in the following limited circumstances:
- Stripe: We share billing information with Stripe, Inc. to process subscription payments.
- Postmark: We share recipient email addresses and message content with Postmark to deliver transactional emails on your behalf.
- Legal compliance: We may disclose data if required by law, court order, or to respond to valid legal process.
- Business transfers: If psyn is acquired or merges with another entity, your data may be transferred as part of that transaction. We will notify you by email before your data becomes subject to a different privacy policy.
We do not share end customer data with any third party for that third party's own purposes.
5. Data Retention
- Studio admin account data is retained for as long as your account is active and for 30 days after termination to allow for data export.
- End customer data is retained as long as the studio's account is active and for 30 days after account termination, after which it is deleted.
- Log and usage data is retained for up to 12 months.
6. Security
We implement reasonable technical and organizational measures to protect data stored in Pawbook, including encryption in transit (TLS), hashed password storage, session-based access controls, and regular security reviews. No system is perfectly secure. We will notify affected studios without undue delay if we become aware of a data breach that affects their data.
7. Your Rights
You have the right to:
- Access the personal data we hold about you.
- Request correction of inaccurate data.
- Request deletion of your data, subject to legal retention requirements.
- Request a copy of your data in a portable format.
To exercise any of these rights, contact us at support@pawbook.studio. We will respond within 30 days.
8. Children's Data
Pawbook is a business service. We do not knowingly collect personal information from individuals under the age of 13. If you believe we have inadvertently collected such information, contact us at support@pawbook.studio and we will delete it promptly.
9. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify studio admins by email at least 14 days before the changes take effect.
